Common Types of Payroll Errors
Payroll errors for outsourced staff may include underpayment of basic salary, incorrect overtime calculations, missing or incorrectly applied allowances, wrong PAYE or statutory deduction amounts, duplicate payments, or failure to process approved salary adjustments.
Some errors originate with Bestcare’s internal payroll processes. Others arise from incorrect or late data submission by the client — for example, timesheet errors or delayed notification of overtime approvals.
Our Error Correction Process
Step 1: Identification Errors may be identified by the employee reviewing their payslip, by Bestcare’s payroll team during quality checks, or by the client’s finance team during reconciliation. Any party can raise a payroll discrepancy.
Step 2: Logging and Investigation The error is logged formally with Bestcare’s HR and payroll team. We investigate the root cause — whether it is a data input error, a system issue, a miscommunication with the client, or a calculation mistake.
Step 3: Correction and Payment Underpayments are corrected in the next payroll cycle where possible. For significant underpayments, Bestcare will process an interim correction payment outside the normal cycle to ensure the employee is not financially disadvantaged for more than a few days.
Overpayments are recovered through a structured repayment arrangement — not deducted in a single lump sum without the employee’s agreement — in compliance with the Employment Act.
Step 4: Communication and Prevention The employee is informed of the error, the correction, and the adjusted amount. Where the error reflects a systemic issue, Bestcare implements a process improvement to prevent recurrence.
