Overtime is a reality of business life — peak seasons, tight deadlines, and unexpected absences often make it unavoidable. But overtime must be managed carefully, particularly for outsourced staff, where the employment relationship spans both the client and Bestcare Manpower Services. Our process ensures that overtime is properly authorised, accurately recorded, and fairly compensated.
Who Can Authorise Overtime?
For outsourced staff, overtime cannot be authorised unilaterally by the client. While the client directs day-to-day work, overtime has payroll and statutory implications that require Bestcare’s involvement. Our standard operating procedure requires that overtime be pre-approved through a joint process between the client supervisor and Bestcare’s HR team.
In practice, clients are given a defined threshold — typically up to a set number of hours per week — within which they can authorise overtime directly, with Bestcare notified via a timesheet entry. For extended overtime beyond that threshold, a formal written request must be submitted to Bestcare for review.
How Overtime Is Calculated
Bestcare calculates overtime in accordance with the Employment Act and the terms of the individual employment contract. Standard overtime is compensated at a premium rate — typically one and a half times the normal hourly rate for weekday overtime and double time for work on rest days or public holidays.
Clients are invoiced for overtime costs as part of the regular billing cycle, based on verified timesheet data.
Recording and Documentation
All overtime hours must be recorded on the approved timesheet and signed off by the client supervisor. Bestcare’s payroll team cross-references these records before processing payment. Discrepancies are queried and resolved before payroll is finalised.
Employees are entitled to see a breakdown of their overtime payments and can raise queries with Bestcare’s HR team if they believe their overtime has been incorrectly recorded or compensated.
